Office Associate - FT (Langley)
Otter Co-op is now accepting applications for Temporary Full-Time Office Associate at our Administration Office located in Langley, BC. This position is a maternity leave coverage, anticipated to last approximately 13 months (June 2027), with the possibility of extension up to 18 months.

What you’ll do:
The Office Associate role in administration supports all functions of the administration department. The list of responsibilities includes but is not limited to:
- Manage and oversee the operation of the main switchboard
- Provide administrative support and relief for breaks and holidays within the team
- Address member concerns and direct calls to appropriate departments
- Order, track and maintain supplies for various suppliers
- Receive and manage the distribution of mail and stationary supplies to various locations
- Prepare and sending membership packages including cards and welcome letters
- Oversee and process new membership applications forms/requests
- Follow up with members for missing information in membership applications
- Assist with equity/patronage cheques and Withdrawal of Equity Applications forms and requests
- Distribute, track and process membership logs for various locations
- Provide updates to locations about membership applications and credit accounts upon request
- Conduct guest interaction with promptness, professionalism, friendliness, and accuracy
- Assist with general inquiries regarding equity, the membership program, T4A's, etc.
- Maintain high level of confidentiality in all interactions
- Contribute to the team in living the Corporate Values of Integrity, Community and Excellence
- Other duties as assigned

Who you are:
You are looking for a career in Administration and:
- Experience in a high volume, fast paced office environment preferred
- Previous retail/customer service experience an asset
- Prior experience covering reception and other customer services
- Intermediate computer skills (including MS office, Word, Excel & Outlook)
- Proficient accurate typing and data entry skills
- Excellent communication and interpersonal skills (written and verbal)
- Above average attention to detail, accuracy and record keeping
- Self-starter and team player with a high level of self-discipline and initiative
- Creative and effective problem-solving ability
- Positive attitude with a commitment to providing outstanding customer service
- Able to prioritize and organize position responsibilities and meet deadlines with minimal supervision
- Must be committed to a SAFE working environment
- Able to perform physical duties including lifting, pushing and pulling up to 25-50 lbs
- Must be available to work Monday to Friday 8:30am to 5:00pm
